Privacy Notice & Consent Policy

Introduction

In order for us to help you with your application for accommodation, we will need to record details of your case. These details may contain your personal and sensitive data. We also collect and store data to improve our performance and monitor how we are delivering our services.

What information do we collect about you?

We collect and process a range of information. Most of the information we hold will be collected directly from you, but we may also receive information about you from third parties such as local authorities, GPs or health professionals, or other community partners.

Why do we need the information?

Some of the information we require is necessary for us to enter into a tenancy agreement with you. Without it, we will be unable to process applications for accommodation (e.g. documents verifying your identity to ensure an application is not fraudulent).
We also collect and process information where it is in our legitimate business interests, to deliver services effectively. This may include:

Housing history

  • Details of income and benefits
  • Support needs and communication preferences
  • Information relevant to safeguarding and wellbeing

Who has access to your data?

Usually only Sky Housing CIC staff will be able to see and process your personal information. However, sometimes we need to share information with trusted organisations that we work with, or who provide services on our behalf.
We may also share information when:

  • You have asked us to (e.g. in support of a transfer to another service)
  • Required by law (e.g. a Court Order)
  • It is in your vital interests (e.g. immediate risk of harm or safeguarding concerns)

Sky Housing CIC will never sell your personal data to third parties for marketing purposes.

How do we protect your data?

We take the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by authorised individuals.
We will not discuss your personal data with anyone other than you, unless we have a valid reason or you have provided written authorisation.

How long will we keep your data?

Sky Housing CIC only holds records during the period of our relationship and for a set period afterwards in order to meet legal obligations, including resolving any follow-up issues.

Can I withhold or amend my consent?

Yes. We will keep a record of your consent, and you have the right to withdraw or amend it at any time. When we ask you for information, we will explain why we need it and what may happen if you do not provide it.

How can I access the information you hold about me?

You have the right to request access to the information we hold about you. You can:

  1. Speak to your Support Worker, or
  2. Complete an Access Request form (available from our office or website).
  3. We will require proof of identification before providing data, and you must explain what information you wish to access. Requests will be handled by our Operations Manager and a response will be provided within one month.
